Data Protection

The Linx 2026 Conference, hosted by the Max Planck Institute for Nuclear Physics (MPIK) and supported by the NEXT COST Action, collects and processes personal data in accordance with the EU General Data Protection Regulation (GDPR) to organize, manage, and document the event.

1. Data Collection and Purpose

During registration, participants may provide personal data including their name, institution, contact information, dietary needs, accessibility requirements, and consent for photography and video recording. This data will be used solely for purposes related to the conference, including:

  • Event planning and logistical coordination

  • Communication with participants

  • Issuing certificates or confirmations

  • Reporting obligations to the COST Action and MPIK

 

Legal Basis: Data processing is based on your explicit consent (Article 6.1.a GDPR), which is necessary for registration and related communications.

2. Data Access and Sharing

Access to personal data is limited to authorized conference organizers, including MPIK staff and COST Action administrative personnel. Personal data will not be shared with third parties for commercial purposes. Any service providers used (e.g., for newsletters or event support) act as contracted data processors and process data only according to our instructions.

3. Photography and Video Recording

During the Linx 2026 Conference, photographs and video recordings will be taken for documentation, communication, outreach, and dissemination purposes. These materials may be processed and published by MPIK and the COST Action through printed publications, institutional reports, official websites, newsletters, and social media channels.

As part of registration, participants will be asked to provide explicit consent regarding the use of their image or likeness in such materials. Providing consent is voluntary and can be withheld without any impact on participation.

Participants who do not consent must indicate this in the registration form and additionally notify the conference organizers in writing form by email. This ensures that appropriate measures can be taken during the event to respect their preferences.

Withdrawal of previously granted consent may be made at any time but does not affect materials already produced or published prior to receipt of the withdrawal.

4. Your Rights

Under GDPR, participants have the right to:

  • Access and correct personal data

  • Request deletion of personal data

  • Restrict processing

  • Data portability

  • Withdraw consent at any time

  • Object to processing based on legitimate interests
