Oral presentations
Submissions accepted for an oral contribution will be presented during one of the conference contribution sessions.
Each oral presentation will have an allocated time:
- Contributed talks: 15 min
- Invited talks and Metcalf-award talks: 20 min
- Review talks: 30 min
These timings do already include time for discussion! Please plan your talk to leave ample time of discussion, at least 3 min for contributed talks and more than 5 min for the longer presentations. Session chairs will be instructed to keep a close watch on the timing because we have a packed program.
The presenter may use either the conference PC or their own laptop. All speakers are strong encouraged to test their presentation during a coffee break in advance. The LOC is not responsible for any technical issue if the presentation has not been checked in advance by the speaker.
For the conference PC, presentations must be prepared in Office PowerPoint (pptx) format with videos included directly into the presentation (do not use links to external files/web movies), and slides are best in 16:9 format. Alternatively, PDF format is also accepted if the presentation does not contain movies.
We strongly encourage all speakers to upload their presentations online (see below).
Poster presentations
All on-site participants whose submissions were accepted as poster contribution will be given the possibility of presenting their poster for two consecutive days.
Posters must not exceed 116 cm in width and 114 cm in height.
So A0 size will fit both in portrait and landscape orientation (with a few cm overhanging).
Presenters are kindly requested not to exceed the above maximum dimensions because the space available on the poster panels is fixed, and larger posters would cause inconvenience to other presenters.
The posters will be divided into two batches and each poster will be up for two days with sessions during the morning and afternoon coffee breaks and the dedicated poster sessions with refreshments in the late afternoon:
- Batch A (Monday & Tuesday) will cover Sessions 1, 2, 3, 4 and 5 including some general posters,
- Batch B (Wednesday & Thursday) will cover Sessions 6, 7 and 8.
Each poster is uniquely identified by a poster ID e.g: A-5.14 is 14th poster of Session 5 in Batch A (Mon/Tue). You can find the poster number at the beginning of your title of the abstract of your contribution. We will also have a poster list at the poster room where you can find your poster number.
At each poster panel the Poster ID of the respective contribution will be marked (actually, two numbers: one for batch A and one for batch B).
Presenters are also strongly encouraged to upload their posters to INDICO before the meeting, to allow viewing by remote participants (see below).
Poster presenters that are registered for remote participation have to upload their poster, preferably in PDF format (see below). You may also upload a short (3 to 5 min) video or audio description of your poster This is particularly recommended for remote participants presenting a poster, but possible for all presenters.
Upload of presentations (talks and posters)
All presenters are strongly encouraged to upload their contributions to this INDICO webpage before the meeting. This applies in particular to all posters to allow viewing by remote participants. You can upload your files from now on.
For remote participants presenting a poster we particularly recommend to also upload a short (3-5 min) audio or video description of their poster, which will be highly beneficial for all participants.
To upload the presentation to INDICO, login to INDICO with your account. For login you have to use the email address you used to submit the abstract. If you forgot which email you used for the submission, you can find this also in the abstract as listed on this webpage (e.g. go to "Contribution List" and find your own contribution).
To start the login, go to the login field that is displayed in the top right corner of this window. After login you name will appear there at the top right.
After login, go to "My Contribution" (or click on your contribution in the "Contribution List") and add the presentation file in the "Presentation materials" section (using the small pencil button on the right).
Please use the following naming convention for the uploaded files:
- Posters: "Poster-ID_Surname.pdf" (e.g., A-3.24_Myname.pdf).
See above for the definition of the poster ID.
If you upload an audio/video description, use the same naming convention, just with the appropriate extension (e.g. .mp3, .mov). - Talks: "Session#_Surname.pdf" (e.g. Session1_Myname.pdf).
You can upload any type of file, but we encourage PDF format because of its compatibility.
When uploading your contribution, you can choose to keep it public (anyone can download it) or restrict its visibility to registered participants by activating the "Protected" button. Please note that webpage administrators can always access and download your files for technical purposes.
